By booking a tour with Chelsey Andrews (“Tour Organizer”), you agree to the following Terms & Conditions.
Booking & Payment
A deposit of $1,000 per person is required to secure a spot on the tour. The deposit is non-refundable and non-transferable except in the event that the Tour Organizer cancels the tour due to the minimum participant requirement not being met. Participants may also choose to pay the full tour balance at the time of booking.
The total tour price is $3,200 per person.
For participants using the payment plan, the remaining balance will be divided into two payments of $1,100 each, due on August 1, 2026, and September 1, 2026.
A 7-day grace period will be provided for missed payments. If payment is not received within 7 days of the due date, the Tour Organizer reserves the right to cancel the participant’s reservation. Any payments previously made, including the initial deposit and installment payments, are non-refundable.
Payment reminders may be sent as a courtesy; however, it is the participant’s responsibility to ensure all payments are made by the stated due dates.
This tour requires a minimum of four (4) participants to operate. If the minimum number of participants is not met, the Tour Organizer reserves the right to cancel the tour. Participants will be notified no later than 60 days prior to departure if the tour does not meet the minimum participation requirement.
In the event the tour is canceled because the minimum participant requirement is not met, participants will receive a full refund of all amounts paid directly to the Tour Organizer.
The Tour Organizer is not responsible for reimbursement of airfare, travel insurance, hotel reservations, transportation costs, passport fees, or any other expenses incurred by participants in preparation for the tour.
Cancellation Policy
The $1,000 deposit is non-refundable except in the event that the Tour Organizer cancels the tour due to the minimum participant requirement not being met.
All payments made toward the tour, including deposits and installment payments, are otherwise non-refundable and non-transferable.
Tour spots are reserved for the individual who originally booked the tour and are not transferable to another person without prior approval from the Tour Organizer. If you find that you are unable to attend, please contact Chelsey Andrews to discuss possible options. Any transfer requests will be reviewed on a case-by-case basis and are not guaranteed.
No refunds, credits, transfers, or exchanges will be issued for cancellations made by participants for any reason, including but not limited to illness, injury, family emergencies, travel delays, weather, personal circumstances, changes in travel plans, or failure to make final payments.
Participants are strongly encouraged to purchase comprehensive travel insurance to protect against unforeseen circumstances.
Participant Responsibility
Participants are responsible for ensuring they have all required travel documents, including a valid passport and any necessary visas, vaccinations, or entry requirements.
Participants are responsible for arranging and paying for their own transportation to and from Toulouse, France, unless otherwise stated.
Any incidental charges, additional fees, or damages incurred at the participant’s accommodation are the sole responsibility of the participant and are not included in the tour price.
Participants are expected to conduct themselves in a respectful manner toward fellow travelers, guides, accommodation staff, and local residents. The Tour Organizer reserves the right to remove any participant from the tour whose behavior is disruptive, unsafe, illegal, or negatively impacts the experience of others. No refunds will be provided in such cases.
Travel Insurance
Travel insurance is strongly recommended and should include coverage for trip cancellation, trip interruption, medical expenses, emergency medical evacuation, lost or delayed baggage, and other unforeseen travel disruptions.
Changes to Itinerary
While every effort will be made to operate the tour as advertised, the Tour Organizer reserves the right to make reasonable changes to the itinerary, accommodations, activities, restaurants, meeting locations, or schedule as necessary due to availability, weather, local conditions, safety concerns, or circumstances beyond our control.
Such changes do not constitute grounds for a refund.
Tour Cancellation by Organizer
The Tour Organizer reserves the right to cancel the tour due to safety concerns, force majeure events, or other circumstances beyond reasonable control.
If the Tour Organizer cancels the tour before departure for reasons other than failure to meet the minimum participant requirement outlined above, participants will receive a refund of amounts paid directly to the Tour Organizer. The Tour Organizer is not responsible for reimbursement of airfare, travel insurance, hotel reservations, transportation costs, passport fees, or other expenses incurred by participants.
Force Majeure
The Tour Organizer shall not be liable for any delay, cancellation, loss, injury, or expense resulting from acts of God, natural disasters, severe weather, pandemics, government actions, civil unrest, strikes, transportation disruptions, or other circumstances beyond reasonable control.
Assumption of Risk
Participants acknowledge that travel involves inherent risks, including but not limited to illness, injury, accidents, theft, transportation delays, and unforeseen events. By participating in the tour, participants voluntarily assume all such risks.
Limitation of Liability
The Tour Organizer acts solely as an intermediary for accommodations, transportation providers, restaurants, guides, activity providers, and other third-party service providers. The Tour Organizer shall not be liable for any injury, loss, damage, delay, accident, or expense arising from the actions, omissions, or services of any third-party provider.
Photography & Marketing
By participating in the tour, participants grant the Tour Organizer permission to use photographs and videos taken during the tour for promotional, marketing, website, blog, and social media purposes. Participants who do not wish to appear in promotional materials must notify the Tour Organizer in writing before the start of the tour.
Acceptance of Terms
By booking a tour, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions.
